Purpose: The Executive Assistant (EA) provides high-level administrative support to the executive team and ensures smooth operation of the office. The EA is responsible for managing schedules, coordinating meetings and events, handling communications, and performing other administrative tasks to ensure the executive team can function effectively.
Key Responsibilities:
- Manage and maintain the executive’s calendar, scheduling appointments, and coordinating travel arrangements
- Handle communication on behalf of the executive, including answering phone calls, responding to emails, and drafting correspondence
- Prepare and edit documents and presentations, as needed
- Organize and coordinate meetings, conferences, and events
- Track and manage expenses and budgets
- Perform research and gather information as requested
- Act as a liaison between the executive and other departments and external contacts
- Handle confidential and sensitive information with discretion
- Perform other administrative tasks as assigned
Qualifications:
- Bachelor’s degree or equivalent experience
- Minimum of 3-5 years of experience as an executive assistant or similar role
- Strong organizational skills and ability to multitask
- Excellent written and verbal communication skills
- Proficient in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint
- Strong attention to detail
- Ability to work independently and take initiative
- Strong interpersonal skills and ability to work well with all levels of internal management and staff, as well as external clients and vendors
- Discretion and confidentiality are essential in this role
